Executive Assistant

We are currently looking for a responsible and competent Executive Assistant to be the supportive force that empowers our senior leadership. The position requires strong communication skills, flexibility, proactive logistics, and efficiency, with demands and expectations prone to changing on a day-to-day basis. Hence, the right candidate needs to possess exceptional interpersonal skills, a foresightful approach to problem solving, and a meticulous attention for detail. He/she should have a background in office work, performing administrative tasks and providing management support to ensure our company's workflow runs smoothly.


Objectives of this Role

  • With a primary responsibility of supporting our principal, and providing personalized secretarial and administrative support to the executive team


  • Maintain and refine internal processes that support executive team, coordinating internal and external resources to expedite workflow


  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks


  • Plan and orchestrate work to ensure that priorities are met, company goals and objectives are accomplished, and best practices are upheld


Daily and Monthly Responsibilities (including, but not limited to)

  • Manage professional and personal scheduling for Principal, including calendar, mail, email, calls, meetings, appointments, meal, and travel arrangements, provide reminders and other company logistics


  • Undertake the tasks of receiving calls, take messages and routing correspondence, as well as management of content and flow of information to Principal


  • Perform administrative and office support, such as:                                      Taking dictation and minutes and writing them up subsequently, accurately enter data, spreadsheet creation, produce reports, presentations and briefs, maintenance of filing system and internal database, monitor office supplies and research advantageous deals or suppliers etc.


  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business


  • Suggest more efficient ways to run the office and troubleshoot malfunctions, review, and recommend changes to our company policies where applicable


Skills and Qualifications

  • Minimum 2 years of experience in secretarial or administrative role reporting directly to upper management


  • Strong written and verbal communication skills, bilingual in English and Mandarin


  • Strong time-management skills and the ability to organize and coordinate multiple projects at once


  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems


  • Flexible team player willing to do what it takes to get the job done; independent, adaptable and enjoys a challenge


  • Ability to keep company confidential


  • Diploma or a higher qualification in Administration or equivalent is preferred
